ChatGPT vs. Tiro: extracting PDF data – chat or tool?

Extracting PDF data with ChatGPT works for one document. From the tenth on you miss fixed columns, email intake, API and review. An honest comparison with Tiro.

By Christian Gerloff · Updated September 8, 2026

In short: Upload a PDF to ChatGPT and type “read the invoice number, date and line items” – it works, and for a single document it is the right choice. Tiro is built for the moment after that: when the same document type arrives every week, a hundred files should land in one table at once, and the result has to reach Excel, your ERP or another system without copy and paste. And honestly: for a one-off question about one document you do not need another tool – and since the MCP server it is no longer an either-or anyway.

What works well in the chat

ChatGPT, Claude and Gemini read PDFs, scans and photos, understand tables and answer questions about the content – across several pages, too. For one-offs that is strong: a contract you want summarized once, a bank statement you need three values from, a data sheet in a foreign language. You already have the chat, it costs nothing extra, and you get an answer in your own words right away. If you are wondering whether AI can read a particular document at all, this is the fastest way to find out.

Where it breaks down: from the tenth document on

The limits are not in reading quality but in everything around it (as of September 2026):

  • Bulk processing. Every document is uploaded individually, every answer read individually and copied into the spreadsheet. With a hundred order confirmations a month that is not automation, it is retyping with assistance. Tiro takes hundreds of files at once – via upload, email forwarding or API – and processes them in the background with a visible status per document.
  • Columns that stay the same. A chat phrases every answer anew: one time the column is called “Amount”, the next “Total”; the date appears as “12.03.2026” once and “March 12, 2026” the next time; decimals come with a point or a comma. Tiro enforces a fixed output schema per inbox. Dates arrive as ISO dates, amounts as real numbers, pick lists only with the allowed values – the same for every document.
  • Integration. There is no path from the chat window into your system except copy and paste. Tiro delivers the result as an Excel or CSV download, as JSON via the REST API or as a signed webhook to your URL; documents arrive through the inbox's email address without you lifting a finger.
  • Traceability and review. In the chat the answer is the end – which value came from which document lives only in the history. Tiro keeps file, result and status together per document, shows errors instead of swallowing them and can, if you want, hold every result for a human to approve before it leaves, with corrections right in the view.
  • Reproducibility. A language model does not necessarily answer the same question the same way twice. For documents with a stable layout Tiro can create deterministic templates: same input, same output, no AI call – and the AI run itself is guided far more tightly by the schema than a free-form chat.
  • Data protection for third-party documents. Supplier and customer documents contain other people's data. With Tiro the app and storage run in Germany, AI processing happens in the AWS Frankfurt region with an EU inference profile and without training on your documents; the data processing agreement is concluded at sign-up (security page). Whether your chat account excludes training and in which region it processes depends on the provider, plan and settings – before uploading third-party business documents, the terms are worth a look.

Both together: your AI sets up Tiro

The most interesting answer to “ChatGPT or Tiro” is: both, with a clear division of labour. Tiro is an MCP server. Connect it to Claude or ChatGPT and your assistant can create the inbox in the chat, write the field rules from your example documents, test them against your expected values and set up the hand-off. After that Tiro takes over the bulk processing – every day, without you opening the chat window. The intelligence during setup is the AI you already pay for; Tiro calls no language model of its own in that dialogue, which is why setting up costs no credits.

Which fits whom

Stay with the chat if you want to understand a single document or pull out a few values once. Take Tiro if the same document type keeps coming back – order confirmations, delivery notes, purchase orders, test reports, bank statements and other document types –, if the result should flow on as a table with fixed columns into Excel, an ERP or a CRM, or if your privacy review demands processing in the EU and a data processing agreement. And if you want both, connect your assistant via MCP and let it build the inbox for you. If you are also comparing specialised parsers, read the Parseur comparison and the Airparser comparison.

How it works

  1. Create an inbox

After signing up you give the inbox a name, say “Order confirmations”. That is all the setup the start needs – the fields come in the next step.

  2. Turn your chat prompt into fields

On the first upload the AI proposes matching fields. What you used to type into the chat (“read the order number, delivery date and every line with quantity and price”) becomes one field each, with a name and an optional instruction – defined once, valid for every document that follows.

  3. Feed everything in and collect the table

Hundreds of files at once via drag and drop, by forwarding to the inbox’s email address or via the API. Every document lands in the same table with ISO dates and real numbers – download as Excel or CSV, fetch as JSON, or have it delivered by webhook.

Frequently asked questions

Can ChatGPT extract data from PDFs?

Yes. You upload the file, describe which values you need and get them back as text or a table – for a single document this works well. The same goes for Claude or Gemini. The limits only show up with volume, with a structure that has to stay the same, and when the result has to reach another system.

Why not just drop every document into the chat?

Because every answer is phrased anew. Column names, date format and decimal separators can differ from document to document, and each result has to be copied into the spreadsheet by hand. Tiro enforces a fixed output schema per inbox – a hundred documents produce one table with the same columns.

Isn't Tiro just “ChatGPT with a user interface”?

The extraction also uses a language model (Anthropic models via AWS Bedrock in Frankfurt). Around it sits what the chat does not have – an inbox with field definitions, an enforced schema, normalized dates and numbers, email intake, a REST API, signed webhooks, a status per document, an optional review step before hand-off and deterministic templates for layouts that stay the same.

What about data protection?

With Tiro the app and storage run in Germany, AI processing happens in the AWS Frankfurt region with an EU inference profile and without training on your documents; the data processing agreement is concluded at sign-up. Whether your chat account excludes training and where it processes depends on the provider, plan and settings – worth checking yourself before uploading third-party business documents.

Can I keep using ChatGPT or Claude and still use Tiro?

Yes, and that is the most sensible combination. Tiro is an MCP server – your assistant creates the inbox, writes the field rules from your examples and tests them; the bulk processing then runs in Tiro, the chat is only where you set it up.

What does Tiro cost?

20 pages per month are free, no credit card. Beyond that there is one metric – 1 page = 1 credit – in paid plans from 50 to 3,000 pages per month, from €25 monthly. Every feature is included in every plan, MCP and API too.
